Our events are not just fashion shows; they also showcase the latest hair trends, wellness techniques, and beauty innovations. The programs include interactive show elements, inspiring lectures, and roundtable discussions, helping participants immerse themselves in the world of fashion and beauty. In the POP UP STORE, visitors can directly engage with the latest products and trends, while the workshops and exhibitions provide opportunities to gain practical knowledge and discover the latest technologies.

ATTENTION!
We kindly remind our exhibitors to strictly adhere to the specified deadlines. The exhibitor must complete the dismantling by the designated time and return the venue completely empty to the Organizer. Failure to do so, or if any stand or installation element is not dismantled and removed by midnight on October 27, 2024, will be considered a serious breach of contract and will result in penalty payment obligations for the exhibitor. The exhibitor is obliged to pay all costs, penalties, damages, and fees incurred due to the delay, and any charges imposed by the Lessor Bálna Budapest. The organizer has the right to remove the remaining stand and products at the venue and charge the costs to the exhibitor, which must be paid within 3 days. Furthermore, the exhibitor is required to reimburse any penalties and costs imposed by Bálna Budapest and HM Zrínyi Nonprofit Kft. due to the delayed or faulty dismantling of the October 27 event. The enforcement of the organizer's penalty claim does not exclude other compensation claims.

Participation Fee
The participation fee consists of the following components: registration fee (50% of the area rental/participation fee), area rental fee, packing fee, and the cost of stand construction and other services if ordered. The fees for services are detailed on the application form and separate order forms. The exhibition participation fee for the area indicated on the application form includes the proportional fee for all work processes related to organizing the exhibition - such as area rental, related marketing activities, including appearance on the online exhibitor list. The area rental fee and service fees are always payable to the organizer. The participation fee and all other charges are net prices and do not include the applicable VAT at the time of the event.

The event will definitely be held if the current regulations allow it. In the event that holding the event becomes impossible due to reasons beyond the organizer's control (e.g., the introduction of epidemic regulations), the fees already paid can be used for the following year's event. The organizer does not assume financial responsibility for any other costs incurred by the exhibitor (even if they were incurred due to the cancellation of the exhibition for the above reason).

Payment Conditions

Area Rental Fee/Participation Fee:
The area rental/participation fee invoice will be sent to the exhibitor in 2 installments, electronically, after the application.

The first installment is the registration fee indicated on the application form (50% of the total amount), which is due within 14 days of application, and after September 22, within 1 day of application.

The second installment is the amount of the area fee/participation fee reduced by the registration fee, which will be invoiced on September 23, 2024, and the payment deadline is October 4, 2024.

We will send advance payment requests electronically for these.

For applications after September 22, the entire area fee is payable in one lump sum (registration fee invoice + remaining area fee advance payment request), with the payment deadline being within 3 days of application, and after October 4, within 1 day of application.

Payment of the first installment (registration fee) is a prerequisite for area negotiation, the start of administrative processes, and integration into the marketing communication campaign. The area fee/participation fee cannot be claimed back in case of cancellation for any reason and is charged as a handling fee by the organizer.

After payment of the 1st and 2nd installments, the exhibitor will receive a prepayment invoice by email confirming the payment, and the final exhibition invoice will be sent by email before the exhibition in October – this is the invoice that can be entered into the accounting.

Other Services, Construction Costs:
Advance payment requests for stand construction, on-site and other services will be sent electronically by October 10, 2024. The payment deadline is 7 days. For later orders, the payment deadline is 3 days after the order, but the fee must be paid by the start of construction at the latest.

Invoice Complaints:
Invoice complaints (only in written form) can be made within 8 working days of receipt. Booking the area is binding on the organizers only if the applicant has no debt to the organizer, and the full participation fee, including communal costs, is paid by the deadline indicated on the advance payment request. If the participation fee is not settled within the deadline indicated on the advance payment request, the organizer is entitled to re-sell the area to the next company on the waiting list and terminate the contract while retaining the full area rental/participation fee. If the debt is settled later, the organizer will provide another area under the same conditions depending on the availability of free space. (The registered applicant is always responsible for the payment, even if the payer is a third party registered either in Hungary or abroad.) By filling out and signing the application form, the exhibitor agrees to settle all ordered services by the deadlines indicated on the advance payment requests and invoices, but no later than the first construction day of the exhibition.

For late payments, twice the current base interest rate of the central bank will be charged. If the exhibitor does not meet the payment deadline (or does not settle the entire area fee), the organizer may withdraw from the authorized rental of the entire area and reassign it, while charging a penalty according to the "Withdrawal and Participation Cancellation" section.

In case of non-payment of obligations, the organizer has the right to retain the exhibitor's stand equipment and fair goods based on the lien. If the debt is not settled within the specified deadline, the organizer is entitled to sell the retained goods on the open market after sending a written notice. The organizer is only liable for damages and/or loss of the retained goods in cases of intent or gross negligence.

Application

Applications can only be made online using the official form, which is available on the www.fashiondiffusionhungary.com website. The application is only valid if the applicant accepts the terms and conditions of participation. The terms and conditions of participation are also available on the www.fashiondiffusionhungary.com website.

The product groups to be exhibited must be indicated on the application form. Special requests regarding the location of the stand, which we will consider if possible, are not a condition for participation. Excluding competitors is not possible, but if a brand is represented by multiple companies, the organizer may decide to limit the number of companies representing the brand.

The application form establishes a contractual relationship, which becomes mutually binding upon confirmation by the organizer. For applications received after the deadline, the organizer is not responsible for fulfillment. Upon sending the application confirmation, the exhibition contract is considered concluded between the organizer Zsanita - FD Kft. and the exhibitor.

Stand Allocation

Exhibitors are manufacturers, traders, or professional entrepreneurs. Participation is only permitted for exhibitors whose announced products and services match the event's offerings.

There is no legal right to participate. Exhibitors who fail to meet their financial obligations to the organizer or violate legal regulations may be excluded from participation. The allocation of stand spaces is done considering the requests indicated on the application form, but requests may not always be fulfilled due to space constraints. Written complaints about stand allocation are possible within 3 days of receiving the confirmed stand allocation.

The organizer has the right to withdraw from the contract if it turns out that the exhibitor has provided false conditions or information, or if the contract conditions cease to apply later.

If the confirmed area is not available due to reasons beyond the organizer's control, the exhibitor may request a refund of the participation fee but cannot claim damages.

If circumstances absolutely require it, the organizers, detailing the reasons, and considering the exhibitor's needs, may change the location of the stand or slightly alter the size of the stand. The organizer reserves the right to relocate the fair area and the entrances and exits of the halls, passageways, and programs.

Exhibitors and Shared Stands

Without the written consent of the organizers, it is prohibited to transfer the stand designated in the confirmation to a third party for a fee or consideration. Unannounced companies or their products may not be advertised at the stands. The stand tenant must apply in writing to the organizer for the participation of a co-exhibitor. The same conditions apply to the co-exhibitor as to the main exhibitor. The co-exhibitor must pay the organizer a co-exhibitor fee of 50% + VAT of the total amount. The main exhibitor remains the payer of the co-exhibitor fee. If a co-exhibitor is detected without the organizer's consent, the organizer is entitled to immediately terminate the main exhibitor and vacate the stand at their expense. The main exhibitor is not entitled to claim damages. A co-exhibitor is considered any exhibitor who exhibits or appears at the stand together with the main exhibitor. An exhibitor is also considered a co-exhibitor if they are in close economic or organizational connection with the main exhibitor. Represented manufacturers whose devices, machines, or other products are necessary for the main exhibitor's offerings are not considered co-exhibitors.

Larger shared stands may also be permitted by the organizer if they fit professionally into the exhibition. The following applies to all exhibitors. If two or more companies share a stand, each company is jointly and severally liable to the organizer. The jointly exhibiting companies must appoint a common representative on the application form.

Withdrawal and Participation Cancellation

The online application form is considered a contract. Withdrawal from the application is only possible in writing. After September 22, 2024, in addition to paying the full area rental/participation fee, a penalty must be paid, and the costs incurred in connection with the order, as confirmed by the organizer, must be reimbursed for cancellation.

Penalty Amount:
The area fee/participation fee cannot be claimed back in case of cancellation for any reason and is charged as a handling fee by the organizer. After September 22, 2024, in case of withdrawal from participation for any reason, in addition to the area rental fee/participation fee, the exhibitor/participant must pay a penalty of 50%.

To maintain the visual image, the fair organizer may replace the unused areas, but this does not exempt the exhibitor from payment obligations. Withdrawal of the main exhibitor from participation simultaneously excludes the co-exhibitor or other represented manufacturers from participation.

If an out-of-court insolvency procedure, bankruptcy proceeding, or bankruptcy is initiated against the exhibitor or co-exhibitor's assets, or if it is rejected due to lack of assets, the organizer has the right to terminate the contract immediately. The exhibitor must inform the organizer immediately about the initiation of the procedure. The above applies to payment obligations.

Exhibition Goods

Products or services not listed on the application form cannot be presented or offered. Products and services that do not match the theme of the exhibition can be removed by the organizer at the exhibitor's expense. Each exhibitor can only present those products and services that have been announced in advance. The legal regulations apply further.

Advertising on and Outside the Exhibition Stand

Exhibition materials, brochures, and advertising materials can only be displayed at the rented stand; they cannot be distributed at the entrances or on the fairgrounds without permission. Advertising outside the stand – banners, signs – is only possible with the prior consent of the organizer, with the payment of the service fee, and at the place designated by the organizer. Advertisements used at the exhibition are only permitted if they do not harm the interests of other exhibitors, do not violate legal regulations or public taste, and are not ideological or political in nature.

The organizer has the right to refuse the publication and display of advertising material that may be objectionable and to confiscate it for the duration of the event. Moving, loud advertising and product demonstrations, sound amplification stronger than speech on the stands – which disturb other exhibitors – are not permitted. If these regulations are ignored, the organizer has the right to intervene and demand changes. In addition, all music playback requires permission, in accordance with the applicable copyright regulations (Artisjus). The exhibitor is responsible for obtaining this permission.

Only those legal and natural persons who have received written permission from the organizer can conduct commercial and/or marketing activities at the event. In the absence of this, the organizer is entitled to ask the person to leave the event.

Exhibition Insurance and Exclusion of Liability

The organizer provides event organizer liability insurance for the duration of the event. The exhibitor is responsible for any damage caused to third parties, including damages to the exhibition building and furnishings. Each exhibitor can also order insurance for their own stand area at their own expense, in which case the organizer will inform the exhibitor which insurance company has contracted the general insurance policy. All damages must be reported immediately to the police, the insurance company, and the organizer. The organizer will record the incident in writing on site.

The organizer provides general security for the exhibition area but does not assume individual security for fair items and stand equipment and excludes liability for any damage or loss incurred. (The exclusion of liability applies despite the organizer's security measures. Furthermore, the organizer is only liable in cases of intent or gross negligence.)

Construction and Design of Stands

The rented stand area is provided without partitions and carpeting. The exhibitor is responsible for ensuring that the stand builder they hire builds the stand at the location marked on the map provided by the organizer (and posted at the construction site). If the stand is built in a location rented by another exhibitor, the hired builder is obliged to dismantle and rebuild it at their own expense at the designated location. Custom stand construction requires approval from the organizers. Protrusions, pillars, columns, and installation connection points are also included in the area. Carpets and decorative elements must not extend beyond the purchased stand area.

The construction and decorative materials of the stand must comply with Hungarian standards, safety and occupational health, and fire safety regulations. Decorative materials must be fireproofed. The exhibitor must comply with the fire safety regulations of the venue. The accessibility of fire extinguishers must be ensured. Packaging materials cannot be stored at the stand. It is forbidden to stick on the walls; the exhibitor is responsible for any damage to the wall elements. The exhibitor is responsible for protecting the artwork (sculptures, equipment, etc.) of the exhibition venue. Ordered stands must be returned in the condition they were received. If the exhibitor damages any installation elements (e.g., leaves adhesive on the walls) or furnishings, the organizer will invoice the repair costs or the full price of the damaged item after the exhibition.

To ensure a tasteful and uniform exhibition image, the organizer may set mandatory requirements for the construction and design of the stand. Stands not built by the organizer must be approved in writing. The exhibitor must send the construction plan documentation to the organizer by October 5, 2024. The technical requirements for exhibitors and stand builders are part of the contract.

ATTENTION! Construction Height:
The general construction height is 2.50 m, a maximum of 3 m, depending on whether the construction height can be increased at the given stand location. This always requires prior on-site consultation with the organizer. Hanging from the ceiling is unfortunately not possible.

Company Presentations
The organizer announces program opportunities in advance where exhibitors can hold company presentations at various thematic program venues – for a fee.

The organizer provides the necessary technical conditions for the presentations (basic sound, light, and projection technology) in the pre-announced form. The organizer considers the client's time requests when scheduling programs, but the final schedule of programs is the exclusive right of the organizer. The visual materials to be projected during the programs must be sent to the organizer by the client at least 1 week before the exhibition to avoid technical problems on site. If the client does not send the materials to be projected in advance, the organizer is not responsible for technical problems on site. The images to be projected during the presentations must be submitted in jpg format, and the presentation materials must be submitted in PowerPoint presentations. The ppt resolution should be 16:9 aspect ratio for optimal projection. We ask that visual and audio materials (films, logos, photos, presentations) be submitted on a USB drive.

Other Costs
The area rental/participation fee includes listing on the online exhibitor list and waste removal costs. Electrical installations can only be carried out by a specialist with the permission of the official installer of the exhibition. Stands can only be built after the return of the signed electrical safety declaration by the stand builder, and after the official electrical safety inspection, which is carried out by the building's electrical supervision. The provision of the switchboard at each stand is the responsibility of the stand builder. Acoustic and optical advertising devices can only be used in accordance with general regulations and in a way that does not disturb neighboring stands. Installation work within the stand can also be carried out by other specialist companies, but these companies must be named in the approval documentation. The organizer has the right but is not obliged to check the installed equipment. The exhibitor is responsible for any damage, connections, machines, and equipment resulting from unauthorized installation, non-compliance with relevant regulations, or consumption higher than allowed, and these can be removed at the exhibitor's expense. The stand owner is also responsible for any damage resulting from the acquisition of energy from uncontrolled sources.

The surcharge for the construction day (October 25, 2024) is 50% of the 2-day area rental/participation fee.
Freight lift usage fee: 2000 HUF + VAT / exhibitor/participant / day
Cleaning fee: 7000 HUF + VAT / exhibitor/participant / day

Waste Removal from the Stand:
Exhibitors and their contractors must ensure the removal of generated waste from the stand themselves. The waste must be transported by the exhibitor to the containers located at the freight lifts, after which the organizer will cover the cost of removing the waste from the hall. The organizer ensures the cleanliness of the fair area, halls, and entrances.

Stand Cleaning:
Stand cleaning is the responsibility of the exhibitors and must be completed daily by opening time. Stand cleaning can also be ordered from the organizer for a fee.

Security
During the fair, the organizer provides general security for the exhibition area. Supervision is provided for the second stand construction night (starting at the closing time of construction) and during the opening hours on event days. The organizer is entitled to take measures necessary for supervision and security.

For the safety of exhibitors and participants, loading and unloading can only be done through designated entrances during construction and dismantling times, and entry and stay in the Bálna Budapest building is only allowed with the organizer's permission.

Exhibitors and participants must ensure the security of their property themselves. The general security provided by the organizer does not include liability for personal and material damages. During the event, construction, and dismantling times, only the security company contracted by the organizer can be hired for additional security.

House Rules
The organizer applies house rules throughout the event area during the stand construction, fair time, and stand dismantling times. The organizer is entitled to give instructions. The organizer is entitled to photograph, draw, and film displays, fair events, exhibition structures, stands, and people in the area and use them for advertising purposes or in the press without the exhibitor's consent. The same applies to recordings made by the press with the organizer's permission.

Filming:
Filming at individual stands and throughout the exhibition area is only possible with the prior written permission of the organizer. In case of unauthorized filming, the organizer is entitled to ask the film crew to leave the event.

The exhibitor must comply with the General Operating Rules of Bálna Budapest and the House Rules of the Event.

Parking, Loading, Unloading:
Entry to the restricted parking area is allowed with an entry permit, where vehicles can drive to the ramps and unload at the freight lift. The deadline for submitting the license plate of the delivery vehicle is October 20.

Please do not block the space after unloading; everyone should park in the surface parking lot or underground garage outside the barrier. Parking for trucks and larger vehicles is possible in designated truck parking areas in Budapest. Unattended vehicles left at the ramp and within the barrier area will be towed away by the operator.

Loading:

Show the entry permit to the guard at the barrier
Unload at the ramp to the lift
Move the vehicle away from the ramp before going up the lift
Helpful tip: Arrive with at least two people for loading, so the driver does not have to leave the cargo unattended. The exhibitor can wait for the delivery on-site and take care of the supervision of the goods and equipment.

Going up the lift is only possible after moving the vehicle away from the ramp.

Unloading:
Attention, only vehicles whose cargo has already been unloaded by the lift can enter the ramp.
Waiting and queuing take place outside the barrier. Entry is only permitted with authorization on October 25, Friday from 10:00.

Organizer's Rights
The organizer has the right to move the event to another location or date, shorten or extend its duration, or temporarily close the exhibition area completely or partially, taking into account the interests of the exhibitors.

Exhibitors are not entitled to withdraw from participation, reduce the participation fee, or claim damages in justified exceptional cases such as natural or political disasters, events endangering the safety or physical integrity of participants (war, violent acts, terrorist attacks, bomb threats, or force majeure). If the fair is not held for the above reasons, exhibitors are entitled to general cost compensation of up to 25% of the participation fee. Higher compensation can only be claimed if the exhibitor has already contracted specific cost-related services related to the exhibition.

Claims for damages against the organizer are excluded in the above-mentioned cases.

Closing Provisions
All agreements, individual permissions, and special regulations require the written consent of the organizer. The General Operating Rules of Bálna Budapest apply to the entire event. Exhibitors' claims against the organizer expire after 3 months. The limitation period starts at the end of the month in which the last day of the fair falls.
