Fashion Diffusion Hungary is a unique event series that celebrates the world of fashion, beauty, and wellness, complemented by a stunning POP UP STORE, presentations, workshops, and exhibitions.
Our event caters to both consumers (B2C) and business partners (B2B), offering opportunities to build professional connections and deepen business collaborations. Additionally, we provide a platform for innovative entrepreneurs to showcase their latest products and services.
Our goal is to offer a comprehensive platform for all sectors of the beauty industry, allowing both professionals and the general public to experience inspiration and innovation. Our events are not limited to fashion shows; the latest hair trends, wellness techniques, and beauty innovations are also showcased. The program includes interactive show elements, inspiring presentations, and roundtable discussions, helping participants to immerse themselves in the world of fashion and beauty.
In the POP UP STORE, visitors can engage directly with the latest products and trends, while workshops and exhibitions offer opportunities to gain practical knowledge and explore the latest technologies.
During the event, the best designers from participating countries will also be selected.

ATTENTION!

We kindly remind our exhibitors to strictly adhere to the given deadlines. The exhibitor must complete the dismantling by the designated time and return the area completely empty to the Organizer. If this is not achieved, or if any stand or installation element is not dismantled and removed by 12:00 AM on December 8, 2024, it will be considered a serious breach of contract, and the exhibitor will be liable for penalty payments. The exhibitor must pay all costs, penalties, damages, and fees incurred due to the delay or enforced by the lessor, Bálna Budapest. The Organizer reserves the right to remove any remaining stands and products left on the site, and the costs will be invoiced to the exhibitor, payable within 3 days. Additionally, the exhibitor must reimburse Bálna Budapest and HM Zrínyi Nonprofit Kft. for any penalties and costs arising from the delayed or faulty dismantling of the event on December 8. Enforcing the Organizer's penalty claims does not exclude any other compensation claims.

    Participation Fee The participation fee consists of the following components: a registration fee (50% of the space rental/participation fee), the space rental fee, a setup fee, and, if ordered, the cost of stand construction and other services. The costs of these services are detailed in the application form and corresponding separate order forms. The exhibition participation fee for the space indicated on the application form includes the proportional costs associated with organizing the exhibition, such as space rental and related marketing activities (e.g., appearing in the online exhibitor list). The space rental fee and service charges are always payable to the organizer. The participation fee and all other costs are net prices and do not include VAT applicable at the time of the event.

    The event will definitely take place as long as current regulations allow. In the event that the event becomes impossible to hold due to reasons beyond the organizer's control (e.g., the introduction of pandemic regulations), any fees already paid can be used for the next year's event. The organizer assumes no financial responsibility for other costs incurred by the exhibitor (even if such costs arise from the cancellation of the exhibition for the reasons mentioned above).

    Payment Terms

  • Space Rental Fee/Participation Fee: The exhibitor will receive the invoice for the space rental/participation fee electronically in 2 installments after registration.

  • The first installment is the registration fee indicated on the application form (50% of the total amount), with a payment deadline of 14 days after registration, or within 1 day after registration for those applying after October 20.

  • The second installment, which is the remaining 50% of the space rental/participation fee (reduced by the registration fee), will be invoiced on October 21, 2024, with a payment deadline of November 10, 2024. Pro forma invoices will be sent electronically.

  • For registrations after October 20, the full space rental fee must be paid in one sum (the invoice for the registration fee + the pro forma invoice for the remaining space rental fee), with a payment deadline of 3 days after registration, or within 1 day after October 20.

  • Payment of the first installment (registration fee) is a prerequisite for space allocation, the initiation of administrative processes, and integration into the marketing communication campaign. The space rental/participation fee is non-refundable for any reason, as the organizer charges it as an administrative fee.

  • After payment of the 1st and 2nd installments, the exhibitor will receive a pro forma invoice via email confirming payment, and the final invoice for the exhibition will be emailed in October – this will be the invoice that can be entered into accounting.

  • Other Services, Construction Costs: Invoices for stand construction, on-site services, and other services will be sent electronically by November 10, 2024. The payment deadline is 7 days. For later orders, the payment deadline is 3 days after the order is placed, but the fee must be paid no later than the start of the stand construction.

  • Invoice complaints (in written form only) must be submitted within 8 working days from receipt. The reservation of space is only binding on the organizers if the applicant has no outstanding debts to the organizer, and the full participation fee, including communal costs, has been paid by the deadline specified on the pro forma invoice. If the participation fee is not paid by the deadline, the organizer has the right to reallocate the space to the next company on the waiting list or terminate the contract while retaining the full space rental/participation fee.

  • If the debt is settled later, the organizer will provide another space under the same conditions, depending on available spots. (In all cases, the registered applicant is responsible for the payment, even if the payer is a third party, whether registered in Hungary or abroad.) By completing and signing the application form, the exhibitor agrees to pay for all ordered services by the deadlines indicated on the pro forma invoices and final invoices, but no later than the first day of stand construction.

  • Date Payment and Penalties In the case of late payment, twice the current central bank base interest rate will be charged. If the exhibitor fails to meet the payment deadline (or does not fully settle the space rental fee), the organizer may withdraw from the authorized rental of the entire space and make other arrangements, and may issue a penalty invoice as described under the "Withdrawal and Cancellation of Participation" section. If the obligations are not settled, the organizer, based on a right of retention, is entitled to retain the exhibitor's stand equipment and merchandise. If the debt is not settled within the specified deadline, the organizer may, after sending written notification, sell the retained goods on the open market. The organizer is only liable for any damage to and/or loss of the retained goods in cases of intentional misconduct or gross negligence.

  • Registration Registration must be done exclusively online, using the official form available on the website www.fashiondiffusionhungary.com. Registration is only valid if the participant accepts the participation conditions. The participation conditions can also be found on the website www.fashiondiffusionhungary.com. The product categories intended for display must be indicated on the registration form. Special requests regarding the location of the stand, which will be considered if possible, are not a condition of participation. The exclusion of competitors is not possible, but if a brand is represented by multiple companies, the organizer may limit the number of companies representing the brand. The registration form establishes a contractual relationship, and upon confirmation by the organizer, it becomes a mutually binding agreement. The organizer is not responsible for fulfilling registrations received after the deadline. The exhibition contract is considered concluded upon the sending of the registration confirmation between the organizer Zsanita - FD Kft. and the exhibitor.

  • Stand Allocation Exhibitors are manufacturers, traders, or professional businesses. Generally, only those exhibitors whose declared products and services align with the event’s offerings are permitted to participate. There is no legal entitlement to participation. Exhibitors who fail to meet financial obligations to the organizer or violate legal regulations may be excluded from participation. Stand locations are allocated considering the preferences indicated on the registration form; however, such requests may not always be fulfilled due to the venue’s limitations. Written complaints regarding the allocated stand can be made within 3 days of receiving the stand confirmation. The organizer reserves the right to withdraw from the contract if it is discovered that the exhibitor has provided false information or if the terms of the contract are no longer valid. If the confirmed space becomes unavailable for reasons beyond the organizer's control, the exhibitor may request a refund of the participation fee but cannot claim compensation. If circumstances absolutely require it, the organizer may change the location of the stand or slightly adjust the stand size, explaining the reasons and taking into account the exhibitor's needs. The organizer reserves the right to relocate the fair area, entrances, exits, walkways, and programs.

  • Exhibitors and Shared Stands Without the written consent of the organizers, it is prohibited to transfer the confirmed stand to a third party for compensation or consideration. Unregistered companies or their products may not be advertised at the stands. The participation of a co-exhibitor must be requested in writing by the stand tenant from the organizer. The same conditions apply to co-exhibitors as to the main exhibitor. The co-exhibitor must pay the organizer a co-exhibitor fee of 50% of the total amount plus VAT. The main exhibitor remains responsible for paying the co-exhibitor fee. If a co-exhibitor is included without the organizer’s permission, the organizer has the right to terminate the main exhibitor’s participation immediately and vacate the stand at the exhibitor’s expense. The main exhibitor is not entitled to claim damages. A co-exhibitor is considered any exhibitor who exhibits with or appears alongside the main exhibitor at the stand. An exhibitor is also considered a co-exhibitor if they have a close economic or organizational connection with the main exhibitor. Manufacturers represented by the exhibitor whose devices, machines, or other products are necessary for the exhibitor’s display are not considered co-exhibitors. Larger shared stands may be permitted by the organizer if they fit professionally into the exhibition. In this case, all exhibitors are subject to the same regulations. If two or more companies share a stand, all companies are jointly and severally liable to the organizer. The jointly exhibiting companies must designate a common representative on the registration form.

  • Withdrawal and Cancellation of Participation The online submission of the registration form constitutes a contract. Withdrawal from registration is only possible in writing. After November 10, 2024, the full space rental/participation fee must be paid along with a penalty fee, in addition to reimbursement for any costs incurred related to the order as confirmed by the organizer. Penalty Rate: The space rental/participation fee is non-refundable for any reason, as the organizer charges it as an administrative fee. After October 20, 2024, in the event of withdrawal from participation for any reason, the exhibitor/participant must pay a 50% penalty in addition to the space rental/participation fee. For visual consistency, the organizer may replace unutilized spaces; however, this does not exempt the exhibitor from their payment obligations. The withdrawal of the main exhibitor from participation also excludes the co-exhibitor or any other manufacturers represented at the stand. If bankruptcy or liquidation proceedings are initiated for the exhibitor or co-exhibitor's assets, or if such proceedings are rejected due to insufficient assets, the organizer is entitled to terminate the contract immediately. The exhibitor must promptly notify the organizer of any such proceedings. The payment obligations outlined above remain valid.

  • Exhibited Goods Products or services not listed on the registration form may not be displayed or offered. The organizer may remove products and services not aligned with the exhibition’s theme at the exhibitor’s expense. Exhibitors may only display products and services that have been declared in advance. Further legal regulations apply.

  • Advertising Inside and Outside the Exhibition Stand Exhibition materials, brochures, and advertisements may only be displayed at the rented stand. These materials may not be distributed at entrances or within the fairgrounds without permission. Advertising outside the stand – such as banners or signs – is only permitted with the organizer’s prior approval and payment for the service, placed in the location designated by the organizer. Advertisements are only allowed if they do not harm the interests of other exhibitors, violate legal regulations, or offend public taste. Advertisements must not have ideological or political content. The organizer has the right to reject and confiscate advertising materials that may be deemed objectionable for the duration of the event. Mobile or loud advertising, product demonstrations, and sound systems louder than normal speaking volume are prohibited if they disturb other exhibitors. In case of disregard for these rules, the organizer has the right to intervene and demand changes. Additionally, any music playback requires a license according to the valid copyright laws (Artisjus). The exhibitor is responsible for obtaining this license. Only those who have received written permission from the organizer may conduct commercial and/or marketing activities at the event. Without this, the organizer has the right to demand the person leave the event.
     

  • Exhibition Insurance and Liability Disclaimer
    The organizer provides event liability insurance for the duration of the event. Exhibitors are responsible for any damage caused to third parties, including damage to the exhibition building and its furnishings. Each exhibitor may also arrange insurance for their own stand area at their own expense, in which case the organizer will inform the exhibitor of the insurance company with which they have concluded a general insurance contract. Any incidents of damage must be reported immediately to the police, the insurance company, and the organizer. The organizer will record the incident in a written report on-site.
    The organizer provides general security for the exhibition area but does not assume responsibility for the individual protection of exhibited items or stand equipment and excludes liability for any damage or loss to them. (This exclusion of liability applies even in the case of the organizer's security measures. The organizer is only liable for intentional misconduct or gross negligence.)

  • Stand Construction and Design
    The rented stand area is provided without partitions or carpeting. The exhibitor is responsible for ensuring that their appointed stand builder constructs the stand at the location designated on the map provided by the organizer (and posted at the construction site). If the stand is built on a space rented by another exhibitor, the exhibitor’s appointed builder is required to dismantle and rebuild the stand at their own expense at the correct location. If a custom stand is being built, it must be approved by the organizers. Protrusions, columns, and connection points for installations are included in the stand area. Carpeting and decorative elements must not extend beyond the purchased stand area.
    The stand construction and decorative materials must comply with Hungarian standards and with safety, occupational health, and fire protection regulations. Decorative materials must be flame-retardant. The exhibitor must comply with the fire safety regulations of the venue. Fire extinguishers must be accessible. Packaging materials may not be stored at the stand. It is prohibited to attach anything to the walls, and exhibitors are responsible for any damage to wall panels. The exhibitor is responsible for protecting the venue’s artwork (sculptures, furnishings, etc.). The rented stands must be returned in their original condition. If the exhibitor damages any installation elements (e.g., leaving adhesive residue on the walls) or furnishings, the organizer will invoice the cost of repairs or the full replacement price of the damaged item after the exhibition.
    To ensure a tasteful and uniform exhibition appearance, the organizer may impose mandatory regulations on the construction and design of stands for all exhibitors. Stands not built by the organizer must receive written approval. The exhibitor is required to submit the stand construction plans to the organizer by November 20, 2024. The technical specifications for exhibitors and stand builders form part of the contract.
    ATTENTION! Construction Height:
    The general construction height is 2.5 meters, with a maximum of 3 meters, depending on whether the construction height can be increased at the specific stand location. Prior consultation with the organizer is required in all cases. Unfortunately, it is not possible to hang items from the ceiling.


     

  • Company Presentations
    The organizer will announce in advance the program opportunities where exhibitors can hold company presentations at various themed program locations, subject to a participation fee. The technical requirements for the presentations (basic sound, lighting, and projection technology) will be provided by the organizer as announced. When scheduling programs, the organizer will consider the time preferences of the exhibitor, but the final schedule of programs is the exclusive right of the organizer. Visual materials to be projected during the programs must be submitted to the organizer at least one week before the event to avoid technical issues on-site. If the exhibitor fails to submit the materials for projection in advance, the organizer will not be responsible for any technical issues that may arise on-site. Images to be projected during the presentations must be submitted in jpg format, and the presentation content should be submitted in PowerPoint format. The recommended resolution for PowerPoint presentations is 16:9 aspect ratio for optimal projection. Visual and audio materials (videos, logos, photos, presentations) should be provided on a USB drive.

  • Other Costs
    The area rental/participation fee includes listing in the online exhibitor directory and waste removal. Electrical work can only be carried out by a qualified specialist with the approval of the exhibition's official contractor. Stands can only be constructed after the return of a safety compliance declaration signed by the stand builder and can only be operated after the official safety inspection, which will be conducted by the building's electrical supervisor. The provision of the switchboard at each stand is the responsibility of the stand builder. Acoustic and visual advertising tools can only be used in accordance with general regulations and must not disturb neighboring stands. Any installation work inside the stand can be carried out by another specialist company, but these companies must be listed in the approval documentation. The organizer has the right, but not the obligation, to inspect the installed equipment. The exhibitor is liable for any damage caused by unapproved installations, connections, machines, or equipment that do not comply with regulations or exceed the allowed power consumption, and such equipment can be removed at the exhibitor's expense. The stand owner is also responsible for any damage caused by obtaining energy from unauthorized sources.

  • The surcharge for the construction day (December 6, 2024) is 50% of the 2-day area rental/participation fee.
    Freight elevator usage fee: 2000 HUF + VAT / exhibitor / day
    Cleaning cost: 7000 HUF + VAT / exhibitor / day

  • Waste Removal from the Stand
    Exhibitors and their representatives are responsible for removing waste from their stands. The waste must be transported to the containers located near the freight elevators, after which the organizer will handle its removal from the exhibition hall. The organizer ensures that the exhibition area, including halls and entrances, remains clean.

  • Stand Cleaning
    Cleaning of the stands is the responsibility of the exhibitors, and cleaning must be completed before the opening hours each day. Stand cleaning can also be ordered from the organizer for a fee.

     

  • Security
    The organizer provides general security for the exhibition area during the event. Security coverage starts at the end of the second stand construction day and is maintained throughout the event during opening hours. The organizer is entitled to take necessary security measures. For the safety of exhibitors and participants, loading and unloading during the construction and dismantling periods can only be done through designated entrances, and entry into the Bálna Budapest building is only permitted with the organizer's authorization.
    Exhibitors and participants are responsible for safeguarding their own property. The general security provided by the organizer does not include liability for personal or material damages. During the event, construction, and dismantling periods, additional security can only be provided by the company contracted by the organizer.


     

  • House Rules
    The organizer applies house rules across the entire event area during the setup, the fair itself, and the dismantling of the stands. The organizer has the right to give instructions. The organizer is also entitled to photograph, draw, or film any presentations, fair events, exhibition structures, stands, and people present in the event area, and use these materials for advertising or press purposes without the exhibitor’s consent. This also applies to media recordings made by the press with the organizer’s permission.

  • Filming
    Filming at individual stands and throughout the entire exhibition area is only permitted with the prior written consent of the organizer. If filming is conducted without permission, the organizer is entitled to remove the filming team from the event.

  • Exhibitors must adhere to the General Operating Rules of the Bálna Budapest and the Event House Rules.

  • Parking, Loading, and Unloading:
    Entry to the parking area, which is secured by a barrier, is only possible with a parking permit. Vehicles can drive up to the ramps and unload at the freight elevator. The deadline for submitting the vehicle license plate number is December 1.

  • Please ensure that after unloading, vehicles do not block access, and park either in the surface parking area or the underground garage outside the barrier. Trucks and larger vehicles can park in designated truck parking areas in Budapest. Unattended vehicles left at the ramps or within the barrier area will be towed by the operator!

  • Loading:

  • Present the entry permit to the security guard at the barrier.

  • Unload at the ramp by the elevator.

  • Before using the elevator, the vehicle must be moved away from the ramp.

  • Tip: Arrive with at least two people for loading, so the driver does not need to leave the shipment unattended. The exhibitor can also meet the delivery vehicle at the site and personally oversee the supervision of goods and equipment.

  • Elevator use is only allowed after the vehicle is parked.

  • Unloading:
    Please note that only vehicles whose shipments have already been unloaded via the elevator are permitted to approach the ramp. Waiting and queuing take place outside the barrier. Entry is only permitted from 18:00 AM on Friday, December 6th.

     

  • FASHION AWARDS COMPETITION RULES

  • Purpose of the Competition
    The goal is to recognize and support creative talents, as well as to showcase the most outstanding fashion brands and designers. The competition provides an opportunity for both national and international fashion brands to compete and present their work.

  • Eligibility Requirements

  • The competition is open to fashion brands from the following countries:
      - Hungary
      - Portugal
      - Italy
      - Ukraine
      - Slovakia
      - Poland

     

  • The competition will proceed if at least five fashion brands register from each country. If fewer brands register from any country, the organizers reserve the right to exclude that country from the competition or modify the competition conditions.
    If a participant applies from a country not listed above, they will not be excluded. In this case, their collection will be presented outside the competition framework, but they will still have the opportunity to showcase their work during the event.

     

  • Application Deadline
    Applications must be submitted by midnight on October 20, 2024. Applications received after this deadline will not be accepted.

     

  • Selection Process
    Between October 20 and October 30, 2024, the Fashion Awards professional jury will select three designers who will participate in the Hungarian finals. To qualify for the finals, applicants must submit a simple 10-page document, which will be evaluated by the jury.

     

  • Important Note: Designers who do not qualify for the finals will still have the opportunity to showcase their new collections during the event. All applicant designers will be able to present their collections, ensuring they have a platform for exposure.
     

  • Documentation Content
    Fashion brands applying must submit documentation based on the following criteria:

  • Brand Introduction (Page 1)

  • Name of the brand, year of establishment, headquarters.

  • The brand's mission, vision, and main objectives.

  • A brief introduction of the brand’s founders.
     

  • Collection Presentation (Pages 2-3)

  • Name and theme of the collection.

  • Inspirations and creative processes.

  • Unique features of the collection (materials used, color palette, design elements).
     

  • Brief Description of Key Pieces (4-5 items)

  • Each product should be accompanied by a photo or illustration.
     

  • Market Potential and Target Audience (Page 6)

  • Detailed description of the brand's target group (age, gender, interests).

  • Application and Submission Deadline
    October 20, 2024.

     

  • Finals
    The finals will take place on December 7, 2024, where the selected brands will have the opportunity to showcase their collections. During the event, the designers will present their products in front of the jury and the audience, based on which the winner of the competition will be chosen.

     

  • Prizes
    The winner of the Fashion Awards will receive the following prizes:
    - A voucher worth 1,000 euros from Fashion Diffusion Hungary, redeemable for Modavision services.
    -A certificate recognizing their achievement in the competition.
    -Free participation in the VII. Fashion Diffusion: THE EVENT, where the winner will be featured as a highlighted designer.
    -Participation in the global competition in Madrid on June 7, 2025.

     

  • The winner agrees and declares that:
    They will redeem the 1,000 euro voucher for Modavision services provided by Fashion Diffusion Hungary.

  • Additionally, they will pay an extra fee of 1,000 euros to participate in the global competition in Madrid on June 7, 2025.
     

  • Closing Provisions
    All agreements, special permissions, and unique regulations require written consent from the organizer. The General Operating Rules of Bálna Budapest apply to the entire event. Any claims against the organizer by exhibitors will expire 3 months after the event's conclusion. The statute of limitations starts at the end of the month in which the final day of the exhibition takes place.
